Creating and Managing Referral Templates

Referral templates in Pear Suite allow you to create prewritten messages that can be sent to external organizations, the member, or both. These templates standardize outreach, ensuring that both community partners and members receive clear, consistent information about the support being offered.
Step 1 – Access the referral templates
- Navigate to the left-hand green sidebar and select Templates.
- Click on the Referrals tab at the top of the page.
- Click the + Add Referral Template button to open the editor.

Step 2 – Define the recipient and method
- Determine the target recipient for the message:
- To the organization: For messages providing member details to a partner (e.g., "Refer this member to XYZ Food Bank").
- To the member: For messages providing resource details to the member (e.g., "Send info about the food bank to the member").
- Select the Method of delivery, choosing between E-mail or SMS based on your organization’s standard communication practices.
Step 3 – Compose the referral message
- Enter a clear Name for the referral (e.g., "Food Support – Local Pantry").
- Provide a short Description to help other team members understand when to use this specific template.
- Draft the Message Body. This is the actual text that will be sent via email or SMS.
- Note: Ensure the tone and content are appropriate for the chosen recipient (partner vs. member).

Step 4 – Enable send actions
- Locate the Send Action checkbox.
- Check this box if you want the referral to include a functional Send button, allowing staff to trigger the message directly from the member's profile or an activity.
- Click Save to finalize the template and make it available for use across your organization.
