Member Files & File Preview

The Member Files section in a member’s profile provides a secure, HIPAA-compliant space to store and manage files associated with an individual. This section is highly flexible and supports a wide range of file types (PDF, JPEG, PNG, CSV, etc.).

Common use cases include:
- ID documents.
- Consent forms.
- Completed questionnaires.
- Transcripts of external phone calls.
- Any other documents tied to the member’s care or program participation.
Uploading Files
- Navigate to the Member Files section of a member’s profile.
- Click the + File button in the top right corner.
- In the Upload Files modal, select files by either:
- Clicking in the “Select Files” area to open your device’s file finder.
- Select the files for upload or drag and drop files into the modal.
- Enter metadata for the file(s):
- Title (required): This is the display name shown in the member’s profile.
- Description (optional).
- Tags (optional, if tags are configured for the organization).


Tip: If uploading multiple files, you can choose to apply the same metadata to all files or enter unique metadata for each file.
Managing Files
Once uploaded, files display in a table with the following columns:
- Name: Title entered during upload (not the original file name).
- Tags: Displays any tags applied, or blank if none are available.
- Upload Date: Date and time the file was uploaded.
- Actions: Available options for interacting with the file.

File Actions
In the Actions column, users have three main options:

1. Preview a File
- Select the View (blue eye icon).
- A preview modal will open directly within Pear Suite.
- From this modal, you can:
- Download (down arrow into bracket icon).
- Open in New Tab (square with arrow icon).
- Close Preview (X icon).

2. Edit File Information
- Select the Edit (green pencil icon).
- Update the file’s Title, Description, or Tags.
- Click Update to save changes.
Note: Only the Title and Tags display in the Member Files list. The Description is only visible in the Edit modal.

3. Delete a File
- Select the Delete (red trash can icon).
- Confirm in the “Delete File” modal.

Once deleted, files cannot be restored and must be re-uploaded if needed.
Navigating Files
The Member Files section includes tools to help you quickly locate and browse files once they’ve been uploaded:
Search

- A search box (magnifying glass icon with “Title…” placeholder text) is located at the top of the Member Files section.
- Use this box to search by characters in the Title of files.
- Results filter in real time as you type.
Pagination & File Count

- At the bottom right of the Member Files section, you’ll see a file count (e.g., “1–10 of 32”).
- The system displays up to 10 files at a time.
- If more than 10 files exist, use the arrows in this section to toggle between groups of 10 until you reach the file you’re looking for.
Key Notes
- The Title field is required and is the only information displayed in the file list by default.
- All file types are stored securely and remain tied to the member’s profile.
- Deletion is permanent. Ensure you confirm before proceeding.
