Member Files & File Preview
Essential insights on managing member files efficiently.
Table of Contents
The Member Files section in a member’s profile provides a secure, HIPAA-compliant space to store and manage documents tied to an individual’s care or program participation. This flexible storage supports various formats, including PDF, JPEG, PNG, and CSV, making it an ideal location for ID documents, consent forms, and completed questionnaires.
Step 1 – Upload files to a profile
- Navigate to the Member Files section of the profile and click the + Upload File button in the top right corner.
- Select files from your device by clicking the "Select Files" area or by dragging and dropping them into the modal.
- Enter a required Title for the file, which will serve as its display name.
- Optionally add a Description or Tags to help with categorization.
- Tip: If uploading multiple items, you can apply the same metadata to all files or enter unique details for each one.

Step 2 – Preview and download documents
- Locate the file in the table and click the blue eye icon (View) in the Actions column.
- A preview modal will open directly within Pear Suite.
- Use the icons within the preview to Download the file or Open in a New Tab for a larger view.
Step 3 – Edit file information
- Click the green pencil icon (Edit) next to the file you wish to update.
- Modify the Title, Description, or Tags in the modal.
- Click Update to save your changes.
- Note: While the Title and Tags are visible in the main list, the Description is only viewable within this Edit modal.
Step 4 – Delete files
- Select the red trash can icon (Delete) for the document you want to remove.
- Confirm the action in the "Delete File" modal.
- Be aware that deletion is permanent; once confirmed, files cannot be restored and must be re-uploaded if needed.
Step 5 – Navigate and search files
- Use the search box (magnifying glass icon) at the top of the section to filter documents by their Title in real time.
- Utilize the pagination arrows at the bottom right to toggle between groups of 10 files when managing large lists.
