Overview

Understanding a member's insurance coverage is foundational to delivering effective, coordinated care. The Coverage Check feature allows you to verify a member's active insurance directly from their profile — without needing to contact a payer, log into a separate system, or wait for the member to provide documentation. It's one of the most practical tools in Pear Suite for making sure your team is working with accurate, up-to-date insurance information before taking any action on a member's behalf.


Why Coverage Check Matters

Insurance coverage changes more often than most people expect. Members may switch plans, lose coverage, age off a parent's plan, change jobs, or have gaps between enrollment periods — and they don't always report these changes proactively. If your team moves forward with billable services based on outdated or assumed coverage, it can result in claim denials, delays in reimbursement, and administrative rework that takes time away from direct care.

Running a coverage check at the right moments protects both your organization and your members. It ensures that the services you're delivering are covered and you're billing to the right payer.

Best Practice: Run a coverage check immediately after creating a new member profile, before any billable activity takes place, and then on a recurring cadence of every 15 to 30 days. Regular rechecks catch mid-year coverage changes that members may not think to mention.


Where to Find It

Coverage Check is located in the Insurance section at the top of the member's profile. Click the Check Coverage button to run a check.


What Coverage Check Does

When you run a coverage check, Pear Suite queries available payer records and returns the member's insurance information — both current and historical. This gives you a complete picture of what coverage the member has had, and what they have right now.

The results include:

  • Active insurance coverages — the plan or plans currently in effect for the member
  • Historical insurance records — prior coverages, which can be useful for understanding gaps or transitions in a member's insurance history

Always review the results to confirm that at least one returned coverage has an active status before proceeding with any billable work.

Pro Tip: If the results return a large volume of records, use the built-in search to filter by keywords like "active," the member's health plan name, or the payer name. This makes it easier to quickly identify the coverage that's relevant right now.


No CIN? No Problem

Previously, running a coverage check required a CIN (Client Identification Number). That requirement has been removed. You can now retrieve insurance information for members even when a CIN isn't available — a significant improvement for teams working with members who haven't yet provided that information or whose CIN is unknown at intake.

This means coverage verification is no longer a step you have to skip or defer. Even with limited information on file, you can run a check and retrieve meaningful results.

Note: While a CIN is no longer required, having one will still improve the accuracy and specificity of the results when it's available.


Information That Improves Results

No specific fields are required to run a coverage check, but the more complete the member's profile, the better your chances of retrieving a match. Pear Suite uses the available information to query payer records, so gaps in the profile may result in fewer or less precise results.

The following fields have the greatest impact on match quality:

CIN Directly identifies the member with the payer when available
Coverage check payer ID Narrows the search to a specific payer
Date of birth One of the strongest matching identifiers
SSN High-confidence identifier when provided
Current address / ZIP code Helps match regional plan enrollment records
First and last name Required for most matching logic
Gender Supports demographic matching

Recommended minimum: If you don't have a CIN, make sure the member's profile includes at minimum their date of birth or SSN along with their first and last name. Without enough identifying information, the system may not be able to return results.


What to Do With the Results

Once you have results, here's how to make the most of them:

Confirm active coverage. Always check that at least one result shows an active status before billing or scheduling covered services. Don't assume coverage is active just because a result appears — historical records will also show up.

Note the payer and plan details. Record the relevant coverage information in the member's profile so your team has it on hand. This saves time during billing and reduces the risk of claim errors.

Check back regularly. A coverage check run today is accurate today. Plans change, and a member who was covered last month may not be covered this month. Build rechecks into your workflow — every 15 to 30 days is a reliable cadence for most teams.

Use historical records for context. Prior coverages can be useful when a member has a gap in care, when you're trying to understand a past claim, or when a member reports they "used to have" a particular plan and can't recall the details.

A Note on Accuracy

Coverage Check is a powerful tool for quickly surfacing insurance information without leaving Pear Suite, but like any automated verification tool, it may not always reflect the full picture. Payer data can lag behind real-time changes, and some coverage details may not be captured in what's returned.

If something in the results looks off, seems incomplete, or you're making a high-stakes decision based on the coverage information — always default to contacting the health plan directly to confirm the details. The coverage check is a great starting point, but the health plan is the source of truth.
