Overview

The Smart Dashboard is the first page users see when they log into Pear Suite. It brings information from across the platform into one centralized view so users can quickly understand what requires attention.

The dashboard experience is based on the user’s permissions.

There are two available Smart Dashboard views:

  • Admin view: Provides organization wide information about billing, claims, members, compliance, and activity.
  • User view: Provides information about the individual user’s To-Dos, schedule, assigned members, and other responsibilities.

Users with administrative access automatically land on the Admin view when they log in. All other users automatically land on the User view.

Administrators can switch between Admin view and User view. Users without administrative access do not have access to the Admin view toggle.

Before Using the Smart Dashboard:

Smart Dashboard Access

Pear Suite must enable the Smart Dashboard for the organization before users can access it.

The Smart Dashboard AI tools are included within the Smart Dashboard experience. They do not require a separate subscription or dedicated AI permission.

Once the Smart Dashboard is enabled, the view each user receives is determined by their existing permissions and organization membership.

 
 

How Pear Suite Determines Each User’s View

Pear Suite determines a user’s dashboard experience from their permissions rather than the name of their assigned role. Permissions are evaluated in the following order.

Analytics Viewer

A user is treated as an Analytics Viewer when Analytics Access is their only applicable permission. Analytics Viewers receive the User view but do not see the Schedule panel.

Reviewer

A user is treated as a Reviewer when their only applicable permissions are:

  • Reviewer.
  • Recommending Provider.
  • Reviewer and Recommending Provider.

Reviewers receive the User view but do not see the Schedule panel.

Administrator

A user is treated as an administrator when they have Organization Access or User Management. Having either permission provides access to the Admin view. Administrators automatically land on the Admin view and can switch to the User view.

Care Coordinator

A user is treated as a Care Coordinator when they have Member Read Access or Member Write Access. Care Coordinators receive the User view.

Team Member

A user who does not match one of the permission groups above receives the standard User view.

A user with Analytics, Reviewer, or Recommending Provider permissions in addition to Organization Access or User Management is treated as an administrator.

 
 

Shared Dashboard Controls:

Classic View

The Classic view toggle allows users to switch between the Smart Dashboard and the previous dashboard layout.

When Classic view is turned on, the previous dashboard is displayed. When Classic view is turned off, the Smart Dashboard is displayed.

No additional configuration is required to use this toggle.

 

 
 

Admin View and User View

Administrators can use the view toggle in the upper right corner of the dashboard to move between Admin view and User view.

  • Admin view: Provides information about the entire organization.
  • User view: Provides information related to the administrator’s own work.

The toggle only appears for users with Organization Access or User Management. Other users land directly on the User view and cannot access organization wide dashboard information.

 
 

Admin View:

The Admin view provides an organization wide overview of billing, claims, members, compliance, and activity.

Users with Organization Access or User Management automatically land on this view when they log into Pear Suite.

The dashboard adjusts automatically based on the organization’s enabled features and the user’s permissions. Sections that are not applicable are hidden.

Dashboard Header

The dashboard header displays:

  • The Dashboard title.
  • A personalized greeting.
  • A brief description of the Admin view.
  • The user’s access classification.
  • The current date.

No additional configuration is required. This information is based on the user’s profile, organization, and permissions.

 
 

Date Range

The Date range control appears near the top of the Admin view.

Available options include:

  • Today.
  • This Week.
  • This Month.
  • Last 90 Days.
  • All Time.

The dashboard defaults to This Week each time the user logs into Pear Suite.

Users can select a different range during their session. The selection does not carry over after they log out. When they log in again, the Date range returns to This Week.

The selected Date range affects billing, claims, activity, and the Inactive member count. Total Members, Active, and Unassigned remain current organization wide counts.

 

 
 

Billing & Claims

The Billing & Claims section provides a summary of billing activity for the organization.

This section appears only when both of the following conditions are met:

  • Billing and claims are enabled for the organization.
  • The user has Claim Generation or Claims Submission permission.

If either condition is not met, the Billing & Claims section is hidden.

Total Billed

Total Billed shows the total dollar amount of billable claims within the selected Date range. Claims in the following statuses are excluded because they do not represent collectible billing:

  • Closed.
  • Error.
  • Error Change Requested.
  • Error While Delivery.
  • Payment Error.
  • Rejected.
  • Denied.

Collected

Collected shows the dollar amount associated with claims in Paid or Closed status.

Claims

Claims shows the total number of claims within the selected Date range. This count includes claims across all statuses.

 
 

Members

The Members section provides a current overview of the organization’s member population. The Date range does not affect every count in the same way.

Total Members

Total Members shows the organization’s current total member population. This count is organization wide and does not change when the Date range changes.

Unassigned

Unassigned shows the current number of members who do not have a user assigned to them. This count is organization wide and does not change when the Date range changes. Unassigned members may be visually emphasized when action is needed.

Active

Active shows the organization’s current number of active members. This count is organization wide and does not change when the Date range changes.

Inactive

Inactive is the only member count affected by the selected Date range. It represents members whose records were updated as inactive during the selected period.

No additional dashboard configuration is required. These counts are based on the organization’s existing member records, statuses, and assignments.

 
 

Compliance & Billing

The Compliance & Billing area contains the Compliance Overview and Claims Overview.

The dashboard automatically adjusts based on the organization’s enabled features and the user’s permissions:

  • If both compliance and billing are available, both cards appear.
  • If only compliance is available, only the Compliance Overview appears.
  • If only billing is available, only the Claims Overview appears.
  • If neither feature is available, the entire Compliance & Billing area is hidden.
 
 

Compliance Overview

The Compliance Overview appears when compliance is enabled and the organization has compliance requirements assigned. It provides a combined view of organization and user compliance.

Overall Compliance

Overall Compliance shows the percentage of applicable compliance checks that are currently satisfied. It includes the overall percentage, the number of compliant checks, the total number of applicable checks, and a visual progress indicator.

Organization

The Organization card displays the percentage of organization requirements that are compliant, the number of compliant requirements, and the number that need attention.

Users

The Users card displays the percentage of users who are compliant, the total number of users being evaluated, and the number who need attention.

A user is considered out of compliance when at least one requirement is noncompliant, pending, or flagged for review.

Requirements

The Requirements list displays individual compliance requirements. Administrators can expand a requirement to review details and complete available actions, including marking the requirement complete, uploading an agreement or supporting document, or opening the full compliance area.

 
 

Claims Overview

The Claims Overview provides additional information about the organization’s claims within the selected Date range.

This section appears only when billing and claims are enabled and the user has Claim Generation or Claims Submission permission.

Clean Claims

Clean Claims shows the percentage of claims that are not in an error, rejected, or denied status. A higher percentage indicates that more claims are progressing without requiring correction.

Paid Compared With Total Billed

This metric compares the amount collected with the organization’s total billable amount during the selected period.

By Status

The status breakdown organizes claims into applicable categories, such as Pending, Rejected, Paid, and Closed.

By Insurance

The insurance breakdown displays claim counts and dollar amounts by insurance company or health plan so administrators can compare billing activity across payers.

Empty State

When no claims exist for the selected Date range, the Claims Overview displays a message stating that no claims data is available for the period.

 
 

Activity

The Activity area contains the Activity Overview and By User cards.

Activity information is based on the selected Date range and the organization’s existing activity records, statuses, and user assignments.

 
 

Activity Overview

The Activity Overview summarizes activity performance across the organization.

Completion Percentage

The completion ring shows the percentage of activities completed during the selected Date range. The percentage is calculated by dividing completed activities by the total number of activities included in the period.

Total

Total shows the total number of activities during the selected period.

Completed

Completed shows the number of activities completed during the selected period.

In Progress

In Progress shows the number of activities that have been started but are not complete.

Scheduled

Scheduled shows the number of activities scheduled but not yet started.

Failed

Failed activity information appears when failed activities exist.

No dashboard specific configuration is required. The information comes from existing activity records and statuses.

 
 

By User

The By User section breaks organization activity information down by team member.

It can display:

  • Users with overdue activities.
  • Completed activities by user.
  • Activities in progress by user.
  • Scheduled activities by user.
  • Overdue activities by user.
  • Failed activities by user.

This section helps administrators identify users who may have outstanding work requiring follow up.

When there are no activities within the selected Date range, the card displays an empty state.

No additional dashboard configuration is required. Results are based on the users assigned to the organization’s activities.

 
 

User View

The User view focuses on the work and responsibilities of the individual user.

Users without Organization Access or User Management automatically land on this view. Administrators can also access it by switching to User view.

The exact sections and actions available depend on the user’s permissions and the features enabled for the organization.

Dashboard Header

The User view header displays:

  • The Dashboard title.
  • A personalized greeting.
  • The user’s access classification.
  • The current date.
  • The organization name.

No additional configuration is required. The information is populated from the user’s profile, organization, and permissions.

 
 

Overdue To-Dos

The Overdue To-Dos card shows the number of items that require immediate attention.

This can include:

  • To-Dos whose due date has passed.
  • Activities scheduled for an earlier time that have not been started.

The number remains synchronized with the items displayed in the To-Do Overview.

 
 

Today's Schedule

The Today’s Schedule card shows the number of activities scheduled for the current day.

This card reflects the individual user’s schedule rather than organization wide activity volume.

 
 

Assigned Members

The Assigned Members card shows the number of members assigned to the user.

The count is based on the organization’s existing member assignments and updates automatically as assignments change.

 
 

Compliance KPI

The Compliance KPI appears only for administrators using the User view.

An administrator includes a user with Organization Access or User Management.

Nonadministrative users do not see the Compliance KPI.

The card may display the current compliance percentage, whether all requirements are met, and the number of requirements requiring attention.

Compliance must be enabled and applicable requirements must be assigned before this card can display information.

 
 

To-Do Overview

The To-Do Overview brings follow up work from across Pear Suite into one centralized list.

The items displayed depend on the features enabled for the organization and the user’s responsibilities. The list may include:

  • Manually created reminders.
  • Custom tasks.
  • Goals and goal action items.
  • Review requests.
  • Consent or compliance reviews.
  • Compliance requirements.
  • Claims requiring correction because they are rejected, denied, or in an error status.
  • Voicemails, missed calls, and unread text messages when Call Center is enabled.

Each source feature must be enabled and configured before its related To-Dos can appear.

The To-Do Overview keeps the list, header badge, and top KPI counts synchronized so users can quickly understand the amount and urgency of their work.

 
 

Smart Dashboard AI Tools

The Smart Dashboard AI tools include the Summarize button, the AI prompt field, and suggested prompts. These tools are part of the same Smart Dashboard feature.

They are available when the Smart Dashboard is enabled and the user belongs to the organization. They do not require a separate subscription or dedicated AI permission.

Summarize

The Summarize button generates a summary of the information currently available on the user’s dashboard.

AI Prompt Field

The prompt field allows the user to ask questions about their day, members, activities, or To-Dos. Suggested prompts may include Prioritize My To-Dos, Members Needing Attention, and Summarize Overdue Items.

Information Available to the AI

The AI can use organization ID, user name, role, date, the day’s activities, activity titles and statuses, activity dates, associated member names, activity duration, the user’s members, member names and primary phone numbers, current To-Do items, and activity statistics.

The AI is limited to information already available within that user’s dashboard scope.

 
 

Add To-Do

The Add To-Do button allows the user to create a new To-Do directly from the dashboard.

The user can enter the applicable information and assign the item according to their available access.

 
 

To-Dos and Inbox Tabs

The To-Do Overview can contain two tabs: To-Dos and Inbox.

To-Dos

The To-Dos tab contains follow up items from across Pear Suite.

Inbox

The Inbox tab contains applicable Call Center items, including voicemails, missed calls, and unread text messages.

The Inbox tab appears only when Call Center is enabled for the organization. When Call Center is enabled but there are no available items, the tab displays the Inbox zero empty state.

No separate permission is required to see the Inbox tab. The My team option within Inbox is available only to administrators.

 
 

To-Do Search and Filters

Users can refine the To-Do list using the controls above the table.

Search

The search field can be used to search by member, item, or owner.

Type

The Type filter limits results to a selected To-Do type.

Due

The Due filter limits results based on the item’s due date.

Sort

The Sort control changes the order in which To-Dos are displayed. The default option prioritizes the most urgent items.

My To-Dos

My To-Dos displays items owned by the current user.

My Team

My Team is available only to users with Organization Access or User Management. It allows administrators to review To-Dos belonging to other users.

Show completed

The Show completed toggle adds completed To-Dos to the list, including completed goal action items, claims, compliance items, review requests, and custom tasks.

 
 

To-Do Ownership

Administrators can reassign eligible To-Dos from the Owner field.

Reassignment is available only to users with Organization Access or User Management.

Other users see the owner as read only.

Goal action items cannot be reassigned, including by administrators.

 
 

To-Do Table

Each row in the To-Do table contains information about the item requiring attention.

Due Date

The date by which the item should be completed. Items without a due date may allow the user to set one directly from the table.

Member

The member associated with the item. Selecting the member’s name opens the applicable member information.

Type

The general category of the To-Do, such as Claim Fix, Review Request, Goal, or Compliance.

Sub-Type or Status

Additional information about the item’s current status.

Item

The specific task or record requiring attention. This area may also explain why action is required.

Owner

The user responsible for completing the item.

 

 
 

Schedule

The Schedule panel provides a calendar style view of the user’s activities.

  • Today: Displays activities scheduled for the current day, with in progress and overdue activities prioritized first.
  • Week: Displays activities scheduled during the current week.
  • Month: Displays activities across the current month.

Schedule activity and Dismiss

The Schedule activity button starts a new activity scheduling workflow. Users can also dismiss an activity from the current day without deleting it. A dismissed activity may return the following day when it remains applicable.

Users Who Do Not See the Schedule Panel

The panel is hidden only for users whose permissions are exactly Analytics Access only, Reviewer only, Recommending Provider only, or Reviewer and Recommending Provider only. Everyone else sees it.

 
 

Your Members

The Your Members panel provides quick access to members. Which members appear depends on the user’s permissions.

Users With Member Access

Anyone with Member Read Access or Member Write Access sees only the members assigned to them.

Users Without Member Access

A user with neither Member Read Access nor Member Write Access sees the organization wide member list.

Available Actions

Users can review available members, search for a member, open a member profile, view the member’s next activity, and schedule an activity for a member.
