Access Management in Pear Suite

Overview

  • Your organization can create custom roles for your users, giving you control over access and editing permissions for different sections of the app.  
  • Each user can be assigned to one or more roles in Pear Suite. If the two roles have conflicting permissions, the user will be granted the higher (less restrictive) access. 
  • Your organization starts with a set of standard roles, each of which can be adjusted if needed.
     


Access controls available for each role

Member Access
Options: None / Read / ReadWrite
This controls the level of access to the Organization Members page as well as each individual member profile. 

Member Visibility
Options: All / Assigned
If this is switched to Assigned, the user’s access will be limited only to member profiles assigned to that user. When the user visits the Organization Members page they will only see users that are assigned to them. 
If this is set to All, the user will be able to see profiles for all members, regardless of assignment. 
 

Member Dispatch
Options: Grant on/off
This controls access to the Member Dispatch page, used primarily to assign new incoming members to users and to perform bulk actions like adding members to groups or starting care pathways. If this is toggled off that page will not appear in the main menu. 


Activity Management
Options: Grant on/off
If toggled on, a user will be able to switch a completed activity back to the “In Progress” status which will allow them to delete the activity. If toggled off, a user will still be able to schedule and complete activities, and will be able to edit certain details on completed activities, such as the date/time and notes. But they won’t be able to ultimately delete a completed activity. 

Builder Tools Access
Options: None / Read / ReadWrite
This grants or limits access to the editing tools for all templates including activities, flows, goals, emails, notes, care plans, review requests, etc. If set to None, the main menu items for Builder and Templates are hidden

Recommendation Access
Options: None / Read / ReadWrite
Similar to the Builder Tools Access, this grants or limits access to the Recommendations templates, conditional logic and actions settings. If set to None or Read, a user can still act on recommendations that appear on a member’s profile. They just won’t be able to access and/or edit the templates. 

Member Deletion
Options: Grant on/off
This is off by default for all roles and can only be turned on by Pear Suite. This gives the ability to permanently delete a member profile. The safer option which is available w/out a gate is the ability to close/archive a member.

Member Merge
Options: Grant on/off
This gives the ability for a user to merge two member profiles. 

Organization Management
Options: Grant on/off
This grants/limits access to the Organization tab which houses org level settings and subscription information. This also grants access to the Users tab where you can invite or deactivate user accounts for your organization, change their roles or edit their user profiles. 

Claims Submission
Options: Grant on/off
This allows the user to give the final approval on a claim to be sent to the health plan. This is toggled off for all subcontractors, where Pear Suite does the final approval. This will need to be toggled on for at least one use on all other orgs who use Pear Suite to send insurance claims.

Claim Generation
Options: Grant on/off
This limits or grants access to the Claims tab from the main menu. If toggled off, the user will still be able to end activities and enter the claim information needed to generate a claim. They won’t be able to see or edit the resulting claim.

Data Import and Export and Data Management
Options: Grant on/off
These work in tandem to limit or grant access to the Data Management tab. If either is toggled on, a user will be able to create or edit import and export templates, as well as data calculations. Both must be toggled off to limit access to the Data Management tab.

External Resource Write Access
Options: Grant on/off
This grants or limits access to the External Resources tab where a user can add or edit information about 3rd parties used to send referrals within Pear Suite. If toggled off, a user will still be able to utilize the referrals function, they just won’t be able to create orr edit the referral templates. 

Analytics Access
Options: Grant on/off

This grants or limits access to organization wide analytics. If toggled off, that tab won’t be available. 

User Management
Options: Grant on/off

This gives access to all the functions found under the User Management tab, including setting up scheduling links. Note: this setting does not control access to the Users tab to invite or deactivate users. That is granted under the Organization Management access. 

Is Recommending Provider
This should only be toggled on for a specific Recommending Provider role, which is generally a clinical provider who signs off on claims or care plans. 

Is Reviewer
Options: Grant on/off
This setting grants access to the Review Requests tab and should be on for any supervisor or administrator who will be reviewing care plans, activities or escalation issues that are submitted through the Review Request function. 

API Key Management
Options: Grant on/off
This should be enabled for anyone who is managing your Pear Suite API integration. This is off by default for all users and requires Pear Suite to enable it on request.
