Editing an Already Scheduled Activity

Pear Suite allows you to update or remove scheduled activities to accommodate changes in your workflow. Because completed activities are locked to protect documentation, understanding how to manage activity statuses is key to making edits or deleting records that are no longer needed.

Step 1 – Locate the scheduled activity

  1. Navigate to your Dashboard Calendar to view all upcoming tasks for your team.
  2. Alternatively, go to a specific Member Profile to see activities scheduled for that individual.
  3. Find the specific activity entry you need to modify.

Step 2 – Edit activity details

  1. Click the three-dot icon located at the end of the activity row.
  2. Select Edit Activity from the dropdown menu to open the configuration window.
  3. Update the necessary fields, such as:
    • Status: Change between Scheduled or In Progress.
    • Date and Time: Reschedule the visit for a different slot.
    • Responsible User: Reassign the activity to another team member.
  4. Click Update to save your changes.

Step 3 – Delete an activity

  1. Locate a Scheduled or In Progress activity that is no longer required.
  2. Click the three-dot icon next to the activity name.
  3. Select Delete Activity from the menu.
  4. Confirm the deletion in the pop-up warning to permanently remove the record.

Step 4 – Unlock completed activities for deletion

  1. Note that activities marked as Completed are locked and cannot be deleted directly.
  2. To remove a completed activity, first select Edit Activity from the three-dot menu.
  3. Change the Status back to Scheduled or In Progress and click Update.
  4. Once the status is updated and the record is "unlocked," the Delete Activity option will reappear in the three-dot menu.
    • Tip: If an activity is accurate but needs clarification, it is best practice to Add a Note rather than deleting the record.

 

Editing Locked Activities

Activities that have been signed off through a Review Request cannot be edited.

If an activity shows a Locked status:

  • You cannot modify time, status, or responses
  • Only billing fields and notes can be updated
