Pear Suite tracks the start and end time of every activity to ensure accurate documentation, support billing requirements, and meet specific program mandates. This data provides a clear record of the time spent with a member, which is essential for audit trails and reimbursement.
Automatic time tracking
The platform is designed to capture timestamps automatically through the "Start Now" feature. When a user selects this option to begin an interaction, the system records the exact start time. Upon finishing and submitting the activity, the system automatically logs the end time. This ensures that the duration of the visit is captured without requiring manual data entry during the session.
Manual time adjustments
There are situations where manual adjustments are necessary to ensure the record reflects reality. This often occurs if a visit began before the activity was started in the platform, or if documentation was finalized after the actual member interaction ended.
- While Scheduling: Users can set anticipated start and end times when planning a future activity.
- While Completing: Before final submission, the time fields remain editable. Users can manually update these fields to reflect the actual minutes spent with the member.

Billing and compliance impact
Accurate time entry is a critical component of billing validity. Many insurance providers and health plans require specific duration thresholds to be met for an activity to be considered billable. Manually correcting these times to reflect the actual work performed including parts of the visit completed outside the platform helps prevent claim rejections and ensures compliance with organizational standards.
