Tag-Based Visibility & Access Control for Member Documentation

Phase 1: Creating Access Tags
- Navigate to your organization settings page.
- Locate the settings section to add tags.
- Create and name the specific tags you want to use to control visibility.
For easier management, you may want to name tags explicitly, such as:
- Allow
- Block
- CHW Block
Phase 2: Configuring User Type Permissions
- Navigate to the Access Management tab.
- Select the specific user type you want to modify, such as CHW.
- Determine the default permission rule for this user role by selecting one of the following options:

Allow all tags by default:
The user will see everything except the specific tags you choose to block. -
Deny access to all tags by default:
The user will see nothing except the specific tags you choose to allow.

Allow all tags by default:
- Select the specific tags from your created list that you want to restrict or allow for this user type.
For example:
- If you default to Allow all tags by default, you would select a tag such as CHW Block to specifically restrict those users from seeing items with that tag.
- Click to update and save these changes to the user type.
Phase 3: Applying Tags to Note Templates
- When you need to restrict a specific note, navigate to create a new note template.
- Locate the tagging section.
- Apply the appropriate restrictive tag, such as CHW Block, to the note.
- Continue to build out your normal note template by adding a title and the required fields.
- Once saved, the system will block users with that restricted tag from viewing this note.
Phase 4: Applying Tags to Pear Suite Files
- This same tagging logic also applies to external documents and uploaded files.
- When you upload a file to the system, you will have the ability to assign your created tags to it.
- Select the appropriate tags to specifically block or allow certain users from seeing that file.
- Save or upload the file once the correct tags have been applied.
Phase 5: Applying Tags to Activities
- Locate the template section of Pear Suite.
- Open either a new activity template or an existing activity template.
- Select the appropriate tags to specifically block or allow certain users from completing the activity.
- These tags will also control whether users can see completed activities in a member profile associated with that activity.
- Save or update the activity template once the correct tags have been applied.
Important Note : Retroactive Tagging
Tags do not work retroactively. If activities, notes, or files were already completed or uploaded before tags were applied, those tags will not retroactively hide them. Tags will only apply to new activities, notes, or files moving forward.
