Gemini said Closing a member profile in Pear Suite is the standard way to manage your caseload when a member is no longer active. Think of it as moving a physical file to a secure cabinet: the information isn't deleted, but it is tucked away to keep your active workspace clean and focused.
Understanding profile closure
When you close a profile, the member is removed from your active organization list and dashboard to reduce clutter. However, Pear Suite protects the integrity of your work: all activities, notes, and files remain securely saved and accessible if you ever need to revisit the case.
Step 1 – Choose your closure method
There are three convenient ways to initiate a closure. In all scenarios, look for the yellow file cabinet icon:
- From the Member Profile: Click the icon located directly under the member's name.
- From the Organization Member List: Locate the member in the full list and click the icon in their specific row.
- From the Dashboard: If the member appears on your daily dashboard, click the icon in the Actions column.
Step 2 – Assign a status and reason
Once you click the icon, a modal will appear requiring specific details for your reporting:
- Select a Status (Required): Choose between Closed – Successful, Closed – Unsuccessful, or Declined.
- Select a Reason (Optional): Provide context such as Successfully completed, Moved out of area, or Unable to make contact.
- Click Confirm to finalize the closure.

Step 3 – Review or reactivate a profile
If a member returns to your program, you can restore their profile in seconds:
- Navigate to the Organization Members page.
- Click the Show Members button to toggle the view to include closed profiles.
- Click into the desired member's profile.
- Select the orange Activate button to reopen the record and resume work.
