How to Use the Internal Referrals Feature
Strategies to leverage the internal referrals feature
Step 1: Enable and Locate Internal Resources To begin, ensure you turn on the enable internal referrals flag. Once enabled, navigate to the Resources page (formerly named external resources) and click on the newly visible internal resources row.
Step 2: Create a Referral Template Unlike external resources, internal resources do not require you to select a specific template type, such as activity or member. To create your template, simply input a title, description, and consent template.
Step 3: Choose Delivery Channels Select how the assigned provider will be notified of the new referral by setting the delivery channels. You can configure notifications to be sent via provider email (with a customizable subject), an in-app notification, or as a to-do list item directly on the provider's dashboard. You can also build out the template body using placeholders.

Step 4: Initiate a Referral for a Member Navigate to your chosen member's profile, initiate the standard referral creation flow, and select internal resources. You will then be prompted to choose the specific template you created.
Step 5: Search and Filter for a Provider You can select a provider from your organization or sub-organizations. You can search for the right provider using their name, email, or title, or by applying advanced filters. The filter menu allows you to sort by profile fields, location, zip code, date of birth, and any additional custom fields configured by your organization. The provider list defaults to displaying zip codes, spoken languages, and services provided, but you can add or remove these columns as needed.
Step 6: Review and Send Before finalizing, you can edit the referral template body and adjust any data IDs or placeholders. Once everything looks correct, send the referral.

Step 7: Provider Acceptance and Member Access The assigned provider will receive a notification via the configured delivery channels (such as an email with an accept/reject button). The provider must be logged into the platform to accept, reject, or update the status of the referral. Once the provider clicks "accept," they are immediately given access to the member's profile, the member is added to their list, and a task is assigned to them.
Step 8: Monitor Status Updates As the assigned provider updates the referral status (for example, changing it to "closed successfully"), the original creator will receive notifications of these changes. The updated status will be reflected and visible to both the sending and receiving organizations directly on the member's profile.
Important Caveat: Please note that this feature will also soon be able to handle bulk referrals, and will incorporate answer actions to allow a popup in an activity.
