Activity Locking After Provider Review Sign-off

Activities in Pear Suite can be locked after a provider reviews and signs off on them. This ensures that documentation is finalized before billing and cannot be changed afterward.
This feature is commonly used for workflows that require provider attestation, such as Medicare-related services or clinical reviews.
How Activity Locking Works
When an activity is configured to require a Review Request, completing that activity will automatically create a Review Request on the member’s profile.
Once the provider reviews and signs the request, the activity is automatically locked.
Locked activities cannot be edited for core documentation fields, helping maintain data accuracy and compliance.
What Gets Locked
After provider sign-off, the following fields cannot be changed:
- Activity status
- Start and end times
- Assigned user
- Responses within flows or assessments
What Can Still Be Edited
To support billing workflows, some fields remain editable:
- Billing fields
- Claim-related details
- Member Notes
This allows billing teams to complete claims without affecting the original documentation.
How to Identify a Locked Activity
Locked activities:
- Appear as read-only
- Display a Locked indicator on the member profile
- Cannot be reopened or reverted
What Happens During the Review Process
- Activity is completed
- Review Request is automatically created
- User submits the request for review
- Provider reviews and either:
- Approves and signs
- Requests additional information
- Rejects the request
- Once signed, the activity is locked
Best Practices
- Complete documentation fully before submitting for review
- Double-check timestamps, notes, and responses
- Submit Review Requests promptly
- Coordinate with providers to avoid delays

- Locked activities cannot be unlocked
- Review Request timestamps may differ from date of service
- Use Activity Summary to confirm details when multiple reviews exist
