Pear Suite allows organizations to import member data and activity records directly into the platform. This is essential for streamlining documentation, maintaining care continuity for programs like ECM and Community Supports, and generating accurate billing claims from external data sources.

Step 1 – Prepare your data

  1. Request the Member & Activity Import Template from your Customer Success Manager (CSM).
  2. Ensure your file is saved specifically in CSV (Comma-Separated Values) format.
  3. Review the Data Dictionary tabs in the template for specific formatting rules.
    • Tip: Upload 1–2 test entries first to verify formatting before importing your entire dataset.

Step 2 – Import members

  1. Navigate to Data Management > Import Templates > Member Import.
  2. Upload your CSV file. Required fields typically include First Name, Last Name, DOB, Gender, and Insurance Info.
  3. Configure Constant Values (New Feature): Admins can set default values for required fields (e.g., Language or Country). If these columns are missing from your CSV, the platform will automatically fill them.
  4. Import Multiple Contacts (New Feature): You can now import multiple Emergency Contacts, Caregivers, or PCPs at once.
    • Assign a unique External Contact Number to group contact details (Name, Type, etc.) together.
    • Mapped columns for the same person must share the same number to avoid duplicates.
  5. If errors occur, download the error log, fix the spreadsheet, and re-upload.

Step 3 – Import activities

  1. Once members are successfully in the system, go to Data Management > Import Templates > Activity Import.
  2. Each row in your file must include:
    • A CIN or Unique ID that matches an existing member profile.
    • An Activity Name that matches a template already in your platform.
    • Start/End Date and Time, Place of Service, and Diagnosis Codes.
    • "Yes" in both the Billable and Billing Consent columns.

Step 4 – Generate and review claims (after importing activities)

  1. Navigate to the Claims tab in the left-hand menu.
  2. Filter by Status:
    • Error: Claims missing data (click to fix directly or re-import).
    • Generated: Valid claims ready for final review.
  3. Review the billing codes and member info. Use Re-Generate to refresh the claim after making any manual edits.

Step 5 – Submit claims

  1. Open the specific claim and perform a final quality check.
  2. Click Mark as Ready for Screening.
  3. This moves the claim into the internal review queue for final billing submission.
